Contract Records

Records organize everything about a contract in one place. Each Record shows the contract's key details, version history, related emails, and tools to review and manage it.

What you'll see in a Record depends on the contract's status: In Negotiation or Executed.

Records In Negotiation



For contracts still being negotiated, the Record displays:

Basic Information

  • Parties: The contracting parties involved
  • Record name: The contract title, with a numbered circle indicating total versions
  • Action buttons:
    • Add note: Add notes to the record
    • Edit details: Modify the record title and parties
    • Star icon: Add the record to your Favorites for quick access

Document Comparison

The comparison feature automatically loads the most recent previous and revised versions. You can:

  • Click Compare to run a redline comparison
  • Download PDF to save the comparison locally
  • Open in Word to view the redline in Microsoft Word

Version History

This displays all versions of the contract Recital has detected from your connected contract sources, organized by most recent.

Column

Description

Checkbox

Select versions to compare or to move to another record.

Date

The date of the first instance/occurrence of the file. If a duplicate of the file is found, the date will be the first occurrence. For example, if a contract is received via email and that same document is later saved to cloud storage, the date will reflect the date the email was received.For files detected in email, this is the date the email was sent/received. For files detected in cloud storage, this is the date the file was last modified.

File

The latest filename.

Original source

Where the file was first detected (email, cloud storage, upload).

Location

Storage location (if a file is detected in more than one place, each location will be listed here, with the latest first).

Actions

Save to cloud storage, download, open in Word, add to record, or delete.

Emails

View all emails containing any version of this contract, along with the email thread they belong to. Features include:

  • Full email content and file attachment
  • Open in Gmail/Outlook to access the original email

Executed Records



Executed contracts display different information focused on the finalized agreement:

Contract Status and Location

  • Status: Green checkmark with "Executed" label, indicating the a signed contract was detected
  • Location: Icon linking to the executed file source.
  • Parent and child records: Links to related parent and child contracts
    • These are automatically mapped
    • If in negotiation, gray in-progress circle
    • If executed, green checkmark circle, plus execution date

Summary Tab

Available only for executed records, this tab provides:

  • Properties: Key contract data automatically extracted from the document
  • Show empty properties: Show or hide properties that were not detected in the contract
  • Source citations: Hover over properties to see direct contract references where available
  • AI-generated notes: Additional context for certain properties explaining restrictions or other relevant details
  • PDF preview: Integrated document viewer with standard tools (zoom, download, print, scroll) Note: if executed contract is a Word doc, a preview will not display.
  • Open PDF button: View the full document in a separate window

Version History and Emails Tabs

These function the same as in negotiation records, showing the complete history of document versions and related email communications.
